Checking Your Commission

Three reports under Reports show where your commission stands. Commissions lists your trips' commission and whether the client has paid. Outstanding Commissions lists what suppliers still owe and what needs fixing, and is where you confirm traveled net bookings are ready to close. Commission Statements shows what accounting reconciled to you at each monthly close and what should be on the next one. This covers each report, every label and what to do about it, the monthly check between the 1st and the 10th, and exporting to Excel. The video uses sample bookings.

Three reports in Cordovan show where your commission stands. They are all under Reports in the sidebar, and they read from TRES, so they are as current as TRES is.

Report Answers
Commissions What commission is on my trips this month or this year, and has the client paid?
Outstanding Commissions Which suppliers still owe commission, what we still owe suppliers on net bookings, and what needs fixing?
Commission Statements What did accounting reconcile to me at each monthly close, and what should be on the next one?

Your monthly check

Accounting closes each month at month end, and the GTC payment arrives mid-month. Between the 1st and the 10th of each month, last month is settled, so that is the time to look:

  1. Open Commission Statements. Check the latest close and the Expected on the next close list.
  2. Open Outstanding Commissions, Needs attention. Fix or chase each booking listed.
  3. Open Ready to close. Confirm the traveled net bookings where the client is home and nothing is coming back.

Anything you expected to be paid but can't find has usually not been invoiced, or the supplier hasn't paid yet. Chase it, or let accounting know, before the next close.

Commissions

Reports, Commissions lists your trips by start date, with the commission on each and your share.

Client paid and Client owes are about the client's balance, not the supplier's. A trip can be client paid while the supplier still owes the commission. To see what suppliers owe, use Outstanding Commissions.

Only trips with a start date in TRES appear here. A booking with no dates is listed under Outstanding Commissions instead, flagged No travel dates.

Outstanding Commissions

Reports, Outstanding Commissions lists every booking on your trips where money is still open with the supplier, whatever its dates. It is read live from TRES each time you open it.

The four cards along the top:

The tabs filter the list:

Tab Shows
Needs attention Bookings with one of the problems below. The page opens here when there are any.
Ready to close Traveled net bookings to confirm. See Ready to close below.
Awaiting commission Everything a supplier still owes commission on, including trips that haven't happened yet.
Owed to supplier Net bookings we haven't paid the supplier for in full yet.
All open Everything above.

Each booking shows the client and trip, the supplier and confirmation number, the travel dates, the commission, what has been paid to or by the supplier, and the Balance. The status says Supplier owes us for commission bookings and We owe supplier for net bookings. Use Sort by to order the list by Travel date (bookings without dates come first), Supplier, Client or Balance.

What Needs attention means

Label Why it's listed What to do
No travel dates The booking has no start date in TRES, so date-based reports, including Commissions, never show it. Add the travel dates in TRES.
Commission overdue The client traveled more than 60 days ago and the supplier still hasn't paid the commission. Check it was invoiced, then chase the supplier.
Net payment not recorded A net booking whose travel has ended still shows money owed to the supplier. Let accounting know. Usually the supplier payment hasn't been recorded in TRES.
Cancelled, balance remains The trip or booking is cancelled but still carries a balance. Clean it up once any refund is settled.

A booking can carry more than one label.

Ready to close

Net bookings aren't closed by accounting until the client is home and nothing is coming back. The Ready to close tab lists net bookings that have traveled, are paid to the supplier and aren't closed yet. You tell accounting which ones can be closed:

  1. Open Outstanding Commissions and click Ready to close.
  2. Tick each booking where the client is home and no refund or change is coming. The box at the top ticks them all.
  3. Add a Note for accounting if it helps. This is optional.
  4. Click Confirm closed: no refunds.

Accounting is notified straight away. Each booking you confirmed shows Confirmed, with your name, the date and your note. It drops off the list once accounting reconciles it in TRES, and its commission then appears on your next statement.

If a refund or change does turn up, click Undo under the booking. Only the person who confirmed it, or an administrator, can undo it. Bookings still to confirm show Waiting for advisor.

Commission Statements

Reports, Commission Statements shows what accounting has reconciled to you at each monthly close. It is read live from TRES.

Expected on the next close

These are bookings the supplier has paid that aren't reconciled yet. They should be on the next statement. A net booking appears here only once the client has traveled. To speed it up, confirm it under Outstanding Commissions, Ready to close.

If a booking you expected isn't on this list or on a statement, it probably hasn't been invoiced, or the supplier hasn't paid. Check Outstanding Commissions, Awaiting commission.

Statements

Each monthly close is listed newest first, with its date, the number of bookings, the reconciliation number and the total reconciled to you. Click one to open it. Each booking shows the client and trip, the supplier, the travel dates, the full Booking commission, and Your commission, which is your share of it.

A booking split with another advisor appears on each advisor's statement with their own share, even when the trip is someone else's.

Export CSV

Each report has an Export CSV button that downloads what is on screen as a file Excel opens:

Amounts are plain numbers, so Excel can add them up. In Outstanding Commissions, a positive balance means the supplier owes us and a negative one means we owe the supplier.
